Sell in Advance
Take the money weeks before the event, not at a cash box in the dark.
You scanned a picture of a parking pass and it let you in. The real ones do this at a barrier, after dark, off a cracked phone screen — here is how.
Event Parking Sales & Gate Access
Build the event, divide it into zones, price it by time window, and publish it as one link and QR code. Drivers pay from their phone and get a pass; your attendants scan it at the gate. You watch the money arrive while the cars are still at home.
By CSI WorksTake the money weeks before the event, not at a cash box in the dark.
Early bird, standard, gate price — set the windows once and let them run.
One scan says admit, repeat entry, or no — before the car reaches the barrier.
Money in, spaces left, and which lane it came through — as it happens.
Why Flex Parking
Event parking is usually a cash box, a roll of tickets and a queue down the access road. Flex Parking moves most of that money online before the day, and gives the people on the gate something better than a headcount and a guess.
Cash at the barrier, paper tickets, and no idea how full the lot is until somebody walks it.
Sell the lot online, keep the gate for the people who turn up anyway, and see both in one place.
How It Works
Build and price the event from a laptop whenever it suits you. The terminal only matters once cars start arriving — and you can sell the whole event without ever touching one.
Name the event, set the date and the time zone, then split the ground into zones — general, VIP, RV, staff — each with its own number of spaces.
Give each zone its price windows — early bird, standard, gate — on a timeline that shows a gap where nothing would be on sale, before it costs you a sale.
Publishing gives you a web address and a QR code that never change. Put them on a flyer, a sign, a ticket email or your own site; drivers pay and get a pass by email.
Attendants scan the code off a phone screen and get one clear answer. Anyone without a pass buys one on the spot, by card or cash, at the gate price.
Features
Selling, pricing and the gate are three different jobs on three different days. Flex Parking keeps them on one account, so what you priced in March is what the attendant scans in July.
Set up as many zones as the site has — general, VIP, RV, accessible, staff — each with its own number of spaces. A zone that sells out stops selling instead of overfilling.
Publishing an event produces a web address and a QR code that never change, so a flyer printed in spring still works in autumn. Download the code as PNG or SVG, or copy the HTML to embed it on your own site.
The page a driver opens is plain, fast and has nothing to load. They pick a zone, enter their plate and email, pay by card, and the pass arrives in their inbox.
The QR travels inside the email itself, not as a link to fetch, so it renders with no signal at the gate. Drivers can save it as an image before they set off.
Give a zone as many price windows as you like and the price changes on its own as each one starts. A timeline draws them end to end, so a stretch with no price — where the zone would quietly stop selling — is visible rather than discovered.
Set both for every gate price window. The attendant sees the two totals side by side and takes whichever the driver is holding.
Decide per zone whether a pass is good for a single entry or for coming and going, and price the two differently. Re-entries are counted, so the rule holds itself up.
Close online sales at the gate opening, two hours before, or not at all. Open gate sales when it suits the site. The two are set separately because they are different queues.
Scan the code off the driver's screen and the terminal answers in one colour: admitted, a repeat entry on an in-and-out pass, or not valid. No reading a list under a floodlight.
Not everyone buys ahead. The terminal sells a pass on the spot at the gate price, by card or cash, and that sale counts against the same capacity as the online ones.
A terminal shows a six-digit code; you type it into the portal and it joins your account. Give each one the name of the gate it stands at — so when a pass is scanned twice, the attendant is told which gate it already came through.
Flex Parking runs on Clover and on other Android-based POS terminals. The gate is the only place hardware is needed at all — and only on the day.
Money taken, passes sold against capacity, and how many have actually driven in — split by online pre-paid and gate sales, and broken down by zone. It refreshes itself.
Web checkouts and terminal sales land in the same ledger, each with its amount, method, lane and the device that took it. One place to reconcile, not two.
The whole portal, not a translated front page. Whoever on your team is building the event reads it in their own language, and dates and prices follow suit.
Get Started
Nothing about setting up, pricing or selling needs hardware. Create an account from a laptop, build the event, publish it and start taking money. The terminal only has to exist on the day cars arrive — and you pair it in six digits when it does.
Sign up with a business name and an email. You choose a password from the link we send, then build your first event straight away.
Install Flex Parking on a Clover or Android POS terminal. It shows a six-digit code; type that into the portal and the terminal joins your account as a named gate.
If Flex Valet is on a Clover device in your business, open Event Parking → Event Setup there and tap Create portal account. Your lots, price plans and events stay on one account — signing up here would start a second, empty one.
Venue, rough size, how you park it today, and anything unusual about the site. We will come back to you with how Flex Parking would handle it.
